PRODUCER
THE ROLE:
The Producer is a core member of MoonLab’s production team. You have enough experience to own your projects with confidence, and enough curiosity to keep growing. You’ll independently own the end-to-end execution of mid-to-large size events and step in as a key support lead on larger, more complex programs alongside Senior Producers and Associate Directors. You manage client relationships, budgets, vendors, timelines, and creative deck development, alongside creative team members, with confidence and minimal oversight. You also know when to ask for help, and you show up for your teammates the way you want them to show up for you.
The ideal candidate brings sharp organizational instincts, strong client communication, and a solid understanding of event production and experiential marketing. But beyond the skillset, we’re looking for someone who takes real pride in this work, the kind of person who notices the details that most people miss and cares about getting it right even when no one is watching.
WHAT YOU’LL DO:
Event Management & Execution
Lead end-to-end production of multiple mid–to-large size projects simultaneously, including brand activations, pop-ups, conferences, trade shows, and client events.
Manage all phases of production: client + team kick off, ideation, budgeting, logistics planning, timelines, vendor management, staffing coordination, onsite execution, and post-event reconciliation.
Partner closely with the creative team throughout the project lifecycle, contributing a production lens to concept development, deck building, and creative problem solving from early ideation through execution.
Build and maintain complex production documents including budgets, timelines, onsite schedules, and vendor trackers.
Coordinate with fabrication teams on warehouse prep, asset documentation, and deployment readiness.
Lead onsite execution including load-in, staffing oversight, client management, strike, and post-event wrap.
Support Senior Producers and Associate Directors on larger-scale programs by owning assigned workstreams, vendor relationships, and logistics independently.
Conduct post-event evaluations with clients, vendors, and internal stakeholders to capture insights and inform future delivery.
Client Management
Serve as the primary client contact on owned projects, building trusted relationships through clear, consistent, and proactive communication.
Run client check-ins, status updates, and production reporting to keep stakeholders aligned across timelines, budgets, and creative development.
Advise clients on production feasibility, cost tradeoffs, and best practices that bring their vision to life within real constraints.
Maintain MoonLab's standard of hospitality and relationship care across all client engagements.
Vendor & Budget Management
Source, negotiate, and manage vendors across fabrication, A/V, rentals, staffing, catering, and logistics.
Track and manage event budgets with accuracy, ensuring scope alignment and cost efficiency throughout all production phases.
Identify cost-saving opportunities without compromising event quality or client experience.
Team Collaboration
Work closely with other Producers, Senior Producers, and Associate Directors to support department goals and shared project success.
Provide direction, support, and oversight to Associate Producers, Production Coordinators and freelancers on assigned projects.
Collaborate with Creative, Design, and Strategy teams to ensure event storytelling and production execution stay aligned.
Contribute to the development of internal systems, templates, and workflows that improve team efficiency.
Business Development Support
Contribute to RFP responses alongside teammates and pitch development by providing production strategy, vendor input, budget frameworks, and feasibility guidance.
Support new business calls as needed, representing MoonLab's production capabilities and experiential expertise.
Identify opportunities to deepen existing client relationships through expanded scopes or repeat programs.
WHAT YOU’LL BRING:
4-6+ years of experience in experiential production, live events, or a related field.
Proven ability to independently manage mid-to-large size events from concept through completion.
Strong budget management skills with experience tracking costs and reconciling actuals across production phases.
Solid vendor relationships and negotiation experience across A/V, fabrication, staffing, and logistics.
Excellent client communication skills with a track record of building and maintaining trusted partnerships.
General understanding of permitting needs (TPA, Special Event, Fire, Health & Safety, Building & Safety, Noise, etc.) and experience managing permit team and timelines.
Strong organizational skills with the ability to manage multiple projects and competing priorities simultaneously.
A collaborative, team-first mindset. You share information, ask for help when you need it, and show up for your teammates the way you want them to show up for you.
The ability to stay grounded under pressure. Production is fast-moving and unpredictable, and we want someone who handles challenges with clarity and a solutions-first approach.
A genuine love for this work and enthusiasm for what great production makes possible.
Proficiency in Google Workspace, Microsoft Office Suite, and project management tools such as Slack, and Zoom.
WHAT’S REQUIRED:
Available to work evenings and weekends as needed for events.
Available to travel for events and remain onsite for event duration.
Able to work outdoors in various weather conditions.
Able to regularly stoop, kneel, crouch, and lift up to 25 pounds.
Valid driver's license.
COMPENSATION & PERKS:
Salary: $90k - $115k
Required Travel: As needed based on project scope.
